Chapter Leadership Workshop
Wednesday, March 18 | 1—5 p.m.
Registration required: please indicate that you are a Chapter Leader during the registration process, and then select this session if you plan to attend.
Join us for an interactive and engaging session designed specifically for WAI chapter leaders! This workshop will explore the unique challenges you face, introduce essential chapter management tools and resources, and highlight innovative ideas to strengthen your chapter’s operations.
Key topics include:
• Effective succession planning between chapter boards
• Onboarding strategies for new chapter leaders
• Engaging and retaining volunteers
• Fundraising tips for your chapter
You’ll also receive the latest updates on chapter programs, resources, and upcoming opportunities. Most importantly, this is a chance to connect, collaborate, and share insights with fellow chapter leaders from across the WAI network. Whether you're a new leader or a seasoned one, this is the can't-miss session to elevate your chapter’s impact and success!

Plan & Host An Outstanding GIAD Event
Thursday, March 19 | 1—2:30 p.m.
Girls in Aviation Day is a cherished global initiative led by WAI Chapters and Corporate Members, dedicated to inspiring the next generation of aviation enthusiasts. Designed for youth ages 8 to 18, this annual celebration opens young minds to the exciting world of aviation and aerospace through hands-on activities, interactive learning, and unforgettable experiences.
Join us as seasoned event hosts share their expert tips and heartfelt stories on how to plan and deliver a truly memorable Girls in Aviation Day. Mark your calendars for Saturday, September 19, 2026—an extraordinary day to ignite dreams and elevate futures.

Student & Collegiate Chapter Leadership Workshop

Student and Collegiate chapters offer a vibrant, hands-on gateway into the world of aviation, unlike any other. In this lively and insightful session, a panel of passionate chapter leaders will share their real-world experiences—the triumphs, the hurdles, and everything in between.
Through candid stories and practical advice, you'll gain valuable tools to lead your own chapter with clarity and confidence. Whether you're just starting out or looking to elevate your existing group, this discussion will empower you to build a thriving, engaged community that reflects the spirit of WAI.

Dorothy Hilbert Chapter Volunteer Of The Year Award
Every chapter has that one extraordinary volunteer—the person who consistently goes above and beyond, lifting others up and making a lasting impact. The Dorothy Hilbert Chapter Volunteer of the Year Award is your opportunity to recognize that individual and celebrate their dedication, leadership, and heart.
We invite you to submit a brief essay highlighting how your nominee has made a meaningful difference in your chapter. This is your chance to shine a spotlight on their contributions and share the story of someone who truly embodies the spirit of WAI.

Chapter Connect Reception

Kick off your conference experience with one of the most anticipated chapter events of the year! The WAI Chapter Connect Reception is a lively gathering designed exclusively for chapter members attending the conference. It’s a chance to reconnect, network, and celebrate the vibrant WAI chapter community.
Enjoy light hors d'oeuvres and a cash bar as you mingle with fellow members from across the globe. Please note: this is a reception, not a dinner—plan your meals accordingly.

Celebrate Your Chapter at the Chapter Showcase!
Put your chapter in the spotlight by showcasing your incredible members and achievements at this year’s Chapter Showcase.
While hosting your booth, you'll have the perfect opportunity to connect with current and prospective members, network with fellow chapter leaders, and engage with conference attendees from across the community. It’s your moment to shine, inspire, and build lasting connections.
Chapter Showcase: Make Your Presence Shine
The heart of your Chapter Showcase isn’t the decorations or the giveaways—it’s the energy and enthusiasm your chapter members bring to the booth. Your presence is what makes the experience memorable!
You’re welcome to present your chapter in any style you prefer. Here are some great ways to highlight your chapter:

Consider adding decorations or attire that reflect your state, region, province, or country. If your chapter has shirts, wear them proudly—they help create a unified and welcoming presence.
Giveaways That Draw a Crowd:

Candy, Pencils, Pens, Notepads, Pins, Small items unique to your area
Giveaways are a great way to attract visitors, but they’re not required. The real draw is your chapter stories, your passion, and your willingness to connect. Even if you don’t have items to display or give away, your chapter’s spirit is more than enough.
Remember: The most impactful part of your Chapter Showcase is the enthusiasm of your representatives. So bring your smiles, your pride, and your chapter spirit—and make it unforgettable!
Important Participation Guidelines for the Chapter Showcase
Please be advised that your chapter is responsible for both the setup and cleanup of your designated showcase area. Throughout the event, you will be collaborating with WAI staff and volunteers, and are expected to conduct yourselves in a professional and respectful manner at all times.
Any behavior that does not reflect the values and standards of WAI may result in immediate action. We reserve the right to remove individual members or entire chapters from the Membership Booth and/or the Conference. Additionally, such conduct may impact your chapter’s eligibility for future showcase opportunities or attendance at upcoming Conferences. Let’s work together to create a welcoming, inspiring, and respectful environment for all.
*Please ensure that your chapter adheres to the branding and usage standards outlined in the Chapter Handbook whenever using your chapter logo. This includes promotional materials, signage, and merchandise.
Any promotional items must include your chapter logo and must receive prior approval from WAI. This helps maintain consistency, protect our brand, and ensure compliance with organizational policies.
Chapter Showcase Participation & Scheduling Guidelines
Each chapter may have one to four representatives present at the booth during its scheduled showcase time. Every chapter is guaranteed one hour, with the possibility of a second hour if space permits. Booth assignments will be made in the order reservation requests are received, so early submission is encouraged.
We recommend signing up for two hours to maximize your chapter’s visibility. Please note that two to three chapters may be featured simultaneously during the Showcase.
To reserve your time slot, submit the Chapter Showcase Reservation Request by February 15, 2026, following the instructions provided on the form. Be sure to list the name of the individual responsible for your chapter’s display.
A finalized schedule will be shared with all participating chapters no later than March 15, 2026. Due to limited space, we recommend having no more than 3–4 chapter members represent your chapter during the event.

Volunteer Opportunities
The annual WAI conference isn't possible without a small army of volunteers! More than 500 volunteers pull together to make each annual conference a success. Join our volunteer crew at WAI2026 and have fun experiencing the conference in a different way and meet other WAI members.
Please note, you must be registered for the day at the conference that you are volunteering. Please submit your registration first, and when asked if you are interested in volunteering, simply check "yes" and our Volunteer coordinators will reach out to you with the next steps!
